Document How do I inform you of changes to my childcare provider or childcare costs?

How you inform us will depend on the type of change and your circumstances. Please follow the below guidance.

Please remember to keep your receipts for all childcare costs you pay.

Change or addition of childcare provider

You will need to submit a Change of Circumstances via your BOSS account, and send us a new Childcare Allowance application. You will also need to provide a covering letter to explain the addition or change to your current provider(s).
 
When asked for your Childcare Reconciliation (CCR) form, you must send this for all providers you have used during the period stated.

Once the change in circumstances is completed we will amend your Childcare payments from the next unpaid month onwards. As we are unable to amend any payments already made via a change in circumstances any difference in costs prior to the change in circumstances being completed will be taken into account in the next Childcare Reconciliation (CCR) period, using the reconciliation forms provided.
 
Change in your childcare costs only

Changes to future estimated costs can be indicated on the CCR form(s), but you must also fill out the comments box on the form explaining the reason for the change in costs.
 
If your change of future costs is substantial, and you would rather not wait for the standard reconciliation to be carried out, you should submit a Change of Circumstances via your BOSS account. Along with forwarding us a new Childcare Allowance application and a covering letter to explain the reason for the change in your costs. You will still need to send your CCR form(s) in addition to this when they are requested. Once the change in circumstances is completed we will amend your Childcare payments from the next unpaid month onwards. As we are unable to amend any payments already made via a change in circumstances any difference in costs prior to the change in circumstances being completed will be taken into account  in the next Childcare Reconciliation (CCR) period, using the reconciliation forms provided.
  
No longer paying for childcare

If you no longer require childcare, you must inform us by submitting a Change of Circumstances via your BOSS account.  Also send written confirmation giving the date that you last used the childcare provider. Once we receive this letter, we will stop or recalculate your Childcare Allowance payments.

If you would like your Childcare Allowance payments held in the meantime to avoid overpayments, please contact us to request the payments are put on hold.

If you then need your Childcare Allowance payments to start again you will need to re-apply by submitting a Change of Circumstance on your BOSS account and forward a completed Childcare application form.

Failure to provide your student coversheet and a self-addressed envelope (if applicable) will result in the processing of your application and the return of your documents being delayed. This could also possibly result in a delay to any payment of bursary due to you.
